The position:
Executive Assistant to the Chief Investor Relations and Corporate Communications Officer
This role is intended for someone who is highly experienced in a C-level support role and can maintain the utmost level of discretion and confidentiality. This person must be eager to take initiative and will be comfortable completing projects, large and small, without need for constant direction and with consistently outstanding outcomes. Someone who is truly engaged, enthusiastic, smart, and proactive will do well here.
In this role, the EA will be representing the Chief Investor Relations and Communications Officer. This means that confidence, polished communications skills and professionalism are a must. This person must be a gatekeeper and feel comfortable speaking with high profile members of the media, sophisticated institutional investors, and high-level executives. At the same time, this individual must be able to maintain a calm, assured demeanor even operating under significant pressure and with unforgiving time constraints.   
This role demands great attention to detail in organization and planning. Many of the responsibilities are on a project basis, including tasks surrounding earnings calls, investor meetings, roadshows, shareholder meetings, etc.
The right person can move quickly up the learning curve, becoming a knowledgeable, valued member of a dynamic team in a short period. He/She is passionate about being in a support role and wants to learn the business and take on additional responsibilities whenever possible.
8:30am-6:15pm (with overtime as needed)
Responsibilities: Serving as the gatekeeper to this executive in person, over the phone and via e-mailAnswering incoming calls, often with extensive interaction and engagement to ensure this executive is fully informed of matters being addressed before follow-upPlanning and organizing investor meetings, roadshows, and other important, high-profile eventsInteracting with and addressing the sometimes highly time sensitive needs of very senior people Interacting with clients and portfolio company customers of all levels who may be contacting this executive in distress to address urgent mattersManaging invoices from outside vendorsManaging expense reports via ConcurHeavy calendar management in Outlook; scheduling internal and external meetingsBooking extensive domestic travel, with occasional international travelManaging expense reports via ConcurAssist with various office management duties, department support, and other ad hoc projectsMake copies, fax or scan documents, send packages, etc. Skills & Requirements: Bachelor’s degree preferred, or equivalent business experience 5+ years of experience in a support roleExcellent knowledge of MS Office including Word, Excel and OutlookExperience managing a hectic and fluid professional calendar, often on extremely short noticeExperience booking domestic and international travelAbility to Manage-up The Ideal Candidate: Strong communicator, both written and verbalConsistently pleasant and warm personality regardless of the nature of any given interactionUnderstated confidence; unflappable even under extreme pressureExtremely strong follow through skillsCuriosity and ability to gain a fundamental understanding of the firm, its business and the asset management sector “Go with the flow” attitude – there will be times when priorities will shiftApproachable, self-aware; a calming influence Able to prioritize tasks; works well under pressureDetail-orientedUnquestionable integrity and discretion; outstanding judgement
