The position: Receptionist/Administrative Assistant
This role is intended for someone who is experienced in a receptionist/front desk support role. This person must be eager to take initiative and can juggle multiple tasks while remaining organized and calm. The ideal candidate is polished, truly engaged, enthusiastic, smart, and proactive.
In this role, the receptionist will be responsible for administrative, logistics and other duties necessary for the front office operation. Confidence, polished communications skills and professionalism are a must. Someone who works well in a fast paced/sometimes high-pressured environment will do well here. The position requires a candidate who is highly organized, flexible and a solid team player.
8:30am-6:00pm (with flexibility for additional OT)
-  First point of contact for visitors, greeting and welcoming guests to the office, directing them appropriately and notifying company employees of the visitor’s arrival; coordinates security arrangements prior to arrival
-  Manages the office/kitchen supplies, ensuring the appropriate supplies are always available, monitoring inventory, and placing orders; stocks and organizes kitchen
-  Support senior executive assistant with ad-hoc tasks and projects as necessary
-  Support executives by performing designated administrative duties including managing calendars, booking travel, and coordinating internal and external meetings
-  Perform expense tracking and reporting duties, including reconciling credit card statements
-  Discretely receives, sorts and forwards incoming mail. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
-  Lunch ordering, set up and breakdown
-  Ensure the office is always maintained impeccably by completing required office and kitchen cleaning duties
-  Manage record keeping, filing, and other ongoing activities necessary for quick retrieval of essential information
-  Liaise with office coordinator for building services and maintenance repairs
-  Perform ad-hoc assignments as necessary
Skills & Requirements:
-  3-5 years of experience in a receptionist/ administrative role supporting senior executives in a corporate environment - preferably financial services
-  Bachelor’s degree preferred
-  Excellent knowledge of MS Office including Word, Excel and Outlook
